JOB FOCUS:
To provide efficient secretarial and administrative support to the Spanish Global Commercial Operations (GCO) team members.
MAIN RESPONSIBILITIES:
*Handle internal and external mail and prioritizes correspondence
*Maintain and updates Therapeutic Area business calendar
*Ensure compliance with corporate SOPs for all documentation generated by all members of the team
*Prepare from rough or clear drafts routine correspondence, reports and presentations
*Interact with internal and external sources under specific instruction to accomplish routine activities such as: Travel reservations, meetings organizations, teleconferences
*Complete travel forms for team members and reports all absences (i.e.: holidays, sick days, business trips)
*Organize, maintains and updates files (computer and paper). Prepare documents and corresponding forms for archiving study files
*Prepare and/or verify routine reports (i.e. expense reports, monthly reports)
*Check the invoices, get the signs and send to the account department
*Prepare the Expenses Notes of the GCO Lead
*Comply with the Division budget
*Invoice management with ARIBA system.
