We are currently looking for a person to join our Meetings and Events team. The major function will be to provide administrative and sales support to the ADOS MICE and C&E team by assisting with general correspondence, proposals, contracts, BEO’s, day-to-day operations of the department and updating database and files carried out in a professional, discreet, exact and prompt manner in accordance with expected standards.

Main duties and responsibilities
• Handles group and events requests, familiarization trips, site inspections and any other requests received by the department
• Maintains a central and up-to-date file of all rate sheets, group offers and any promotions
• Updates the ‘Reports/Tracking’ folder and follow ups with the hotel to ensure Director of Sales/ADOS has access to the latest set of reports
• Coordination of report monthly submissions such as Room Night Production Report, Monthly Sales Activity Report, etc.
• Assists Director of Sales/ADOS with the preparation of regular sales reports prior to weekly groups and revenue meeting
• Assists ADOS, Events and MICE team with the creation and completion of proposals
• Maintains good aware of the events details and account profiles related to the designed Conference & Events Managers
• Maintains good business relationship and rapport with clients
• Handles incoming inquiries and conducts initial qualifying process to ensure potential business.
• Fully aware of departmental yearly revenue goal, products and services. Takes ownership and initiative to solicit business.
• Handles guest’s request independently and proactively.
• Support Conference & Events Director/Managers to ensure update information data are properly input in the system. .
• Assists ADOS in the development, maintenance and implementation of key sales processes
• Assists the team with general correspondence, emails, presentations and administrative tasks
• Keeps an up-to-date track of all activities/projects completed and ongoing in the department
• Maintains an up-to-date and highly effective filing system
• Maintains an up-to-date and highly effective tracing system
• Takes minutes of team meetings as requested and follow ups on action points
