We are looking for an Office Manager / Executive Assistant to organize and coordinate office operations and procedures, in order to ensure organizational effectiveness, efficiency and safety.
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible to travel to Middle East and Europe and enjoy the administrative challenges.
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
- Scheduling and coordinating complex meetings and events.
- Answering and screening calls to route to accountable parties.
- Managing Outlook calendars.
- Developing and booking travel plans; managing expense reports.
- Organizing team materials and information (reference materials, org charts,etc.).
- Composing correspondence, reports, spreadsheets, decks and other complex documents and reports.
- Providing support and approvals for expense reports, IT and equipment requests.
- Maintaining employee records; changes of status, attendance records, employee requisitions.
- Sharing broader responsibilities with administrative team within department, to ensure steady coverage.
- Maintaining confidentiality and discretion at all times.
