Integrated in the G&A department, the Office Manager role will include the following responsibilities:
- Receptionist functions:
- As the firts point of contact for most clients, endeavor to answer telephone inquiries in an efficient, friendly and professional manner.
- Provides support, such as answering telephone, taking and delivering messages or transferring calls to voice mail when appropriate personnel are unavailable.
-Welcome clients and announce visitors.
- Monitor visitor access and maintain security awareness.
- Collate and update staff lists, overseas offices and contact details regularly.
- Check and sign for deliveries and informing the relevant member of staff of their arrival. Deliveries by post or courier will include valuable items.
- Ensure the front office and reception is clean and tidy at all times. Control inventory relevant to reception area.
- Office Support functions:
- Provide office supplies (Stationery & Kitchen supplies) for staff and maintain adequate stocks.
- Maintain all office equipment in proper working order and organize periodic inspections of electrical equipment and safety devices.
- Budget request for flights, mobile phone rates, hotels and rental cars.
- Receive incoming courier packages and prepare outgoing packages.
- Organize and coordinate conferences and meeting rooms, etc.
