We are recruiting an Administrative Assistant for a company that manufactures shoes in India.
Function
o Customer support and commercial agents support (by telephone and by mail), for all types of queries and complaints, either administrative or commercial.
o Control of domestic market orders- reception, screening and control of prices and payment terms. Check every order against stock and determine whether any quantity is not servicable. Find out the deliver time from the management and inform to the customer.
o Support Accounts/Book keeper in pursung matter of unpaid invoices from customers.
o Outputs ( delivery of goods) - prepare packing notes to the warehouse after checking with orders. Prepare shipment/delivery notes to pass to DHL for collections.
o Request quotes from transport agencies, and make necessary documentation, for sending samples to customers, both national and international.
o Billing - compare delivery notes with invoices and shipping proofs to customers.
o Monitor the returns (faulty shoes).
o Maintenance and updating of customer records with data according to Law and keeping tabs of commercial agents in FMODA (FMODA = management software)
o Update in the company system programme the details of insurance cover for all customers on a monthly basis.
o Commissions of Agents: monthly and quarterly check sales by customer representative. Send information to Commercial Agents and in some cases send copy of bills in pdf to send them.
